The Workspace Manager role gives Sales Operations teams access to workspace configuration and governance features without requiring a paid prospecting license. It is a config-only role that works alongside the Admin role.
Workspace Managers cannot prospect, enrich data, consume credits or authenticate CRM/Security settings. An Admin must assign the role.
Who should use the Workspace Manager role?
The Workspace Manager role is designed for Sales Operations users who manage the Cognism workspace but do not prospect.
Use this role for users who need to:
- Manage Sales Users and their credit limits
- Configure personas and assignment rules
- Manage compliance settings, including DNC, opt-outs and location restrictions
- Configure data settings, such as Intent and Technographics
- Configure CRM exports and field mappings after an Admin has authenticated the CRM connection
- Manage workspace and team configuration
- Monitor credit usage

Assign the Workspace Manager role
Only an Admin can initially assign the Workspace Manager role.
- Open User Management.
- Select the user you want to give workspace management access to.
- Select Workspace Manager as their role.
- Save the user's role.
- The user can now sign in with Workspace Manager permissions.
Workspace Managers can manage other eligible Workspace Managers, but they cannot create or manage Admin users.
Understand integration permissions
Workspace Managers can configure an existing CRM connection, but they cannot authenticate or establish a new integration.
An Admin must complete actions that establish a connection between Cognism and an external system, including:
- CRM authentication
- API token generation
- SSO or SCIM setup
- Other integration authentication actions
This separation protects customer data and keeps external access credentials under Admin control. Once an Admin has authenticated a connection, the Workspace Manager can manage supported configuration, such as export rules and field mappings. As WMs are not expected to be full-time users (the whole premise behind this role), CRM integration (particularly managed service single admin) and Data import could break and cause disruptions for the customers.
Understand credit and prospecting restrictions
The Workspace Manager role does not include prospecting access and does not consume prospecting credits.
Workspace Managers cannot use Search, Lists, Enrichment or the Chrome Extension. They can, however, manage Sales Users, set their credit limits and monitor workspace credit usage.
Workspace Manager vs Admin/RevOps
The Workspace Manager role does not replace the Admin/RevOps role.
Admins/RevOps retain control over security, integrations, Admin users, billing and commercial account changes. Workspace Managers focus on the day-to-day configuration and governance of the workspace.
Expected result
After you assign the Workspace Manager role, the user can manage supported workspace configuration without requiring a paid prospecting licence. Prospecting and external integration authentication remain restricted to the appropriate roles.
