When exporting Companies from Cognism to HubSpot, you'll gain access to valuable data like industry, technologies, revenue, and more. This is highly recommended if you want to enrich your CRM with comprehensive firmographic and technographic insights.
However, to ensure a smooth integration and avoid duplicate Company records, it's important to review your HubSpot settings—specifically the “Create and associate Companies with Contacts” option.
🔍 How HubSpot Creates Companies Automatically
When the “Create and associate Companies with Contacts” setting is enabled in HubSpot, the system will:
- Automatically create a Company based on a Contact’s email domain
(e.g.,jane@acme.io
→acme.io
) - Associate that Company with the new or existing Contact
If Cognism is also configured to create Companies upon export, and the domain we use differs slightly (e.g., acme.com
, mail.acme.com
, or acme-inc.com
), this may result in duplicate Company records.
🟠 Example of a Duplicate Scenario
- A contact with email
john@acme.io
is added to HubSpot
→ HubSpot automatically creates a Company with domainacme.io
- You export Company data from Cognism
→ Cognism creates a Company with domainacme.com
Result: You now have two separate Companies for the same organization in HubSpot.
✅ How to Avoid Duplicate Companies
To prevent this issue, we recommend selecting one system to be responsible for Company creation:
Option 1: Let Cognism Handle Company Creation (Recommended)
- Disable the “Create and associate Companies with Contacts” setting in HubSpot
- Enable Company export from Cognism
- Get richer Company records, including industry, revenue, technologies, and more
Option 2: Let HubSpot Handle Company Creation
- Keep the automatic association setting enabled in HubSpot
- Disable Company export from Cognism
- Companies will be created based solely on Contact email domains
