In order to send via SMTP, you must also have a Universal Email integrated. This does not need to be the same email address and will not be displayed as the sender. Whichever email is connected via SMTP will be used to send the mail.
SMTP is only used for outbound sending and therefore has no return path. This means statistics such as ‘Replied’ and ‘Bounced’ will not be tracked. We will still be able to track ‘Opened’ ‘Clicked Links’ and ‘Opted Out’ as long as you have tracking enabled.
To get around this you must set up a forwarding rule from the sender address (SMTP) to the connected address (Universal email). This means all replies and bounces will be tracked.
Step 1 – Integrate your email.
Please refer to relevant guides depending on your email server
Step 2 – Set-Up SMTP.
-
In Prospector, go to the profile icon in the top-right and select 'Settings'
-
Go to the ‘Integrations’ tab
-
Scroll down to the E-mail section and click 'Add' next to SMTP
In the SMTP Settings, enter the following details:
-
SMTP Host
-
SMTP Port
-
SMTP Username (main email address - this will be the email used for sending)
-
SMTP Password (please use app password if 2-step verification is on)
Optional:
This is what will be displayed to the recipient. Only add this if different to the SMTP username and if this has been set up in your email server as an official alias.
-
Alias Email
-
Alias Name
These can usually be found by searching within your email settings i.e. on the Outlook desktop app, search “SMTP”’, click “Get help on SMTP”, go to “POP, IMAP, and SMTP Settings”, and see relevant information under SMTP in the table.
If you use mail.com and have SMTP set up, it is typically smtp.mail.com (example: smtp.cognism.com) but this will differ depending on your set-up.
If you cannot find the information in settings or online, check with your IT or technical department.
-
Toggle on the ‘Integration Active’ button and press ‘Save’
-
You will receive a success message and a green tick will show next to your email
-
To edit the settings, press the settings cog on the right-hand side, make appropriate edits and click ‘Update’
-
We recommend running a test campaign to make sure it appears correctly. This can be a campaign to a colleague or your CSM at Cognism for example. Please refer to our guides How to upload/import a CSV within a campaign, How to attach a sequence to a campaign, and How to launch a campaign if you are stuck.
Make sure the forwarding rules have been set up, otherwise no inbound will be tracked.
-
To remove the integration(s), simply click ‘Remove’
-
Confirm the deletion by clicking ‘Yes, Delete’
-
You will see a success message
