How to integrate Cognism into your workflows using Zapier

  • If none of the existing native Cognism integrations meet your needs, Cognism Prospector's Zapier App should help you get started with feeding your marketing and sales pipeline, or with enriching your person and company records.

  • Cognism's Zapier App brings option to push new or update existing data automatically from Cognism Web Platform into any of 500+ CRM and Sales Engagement tools, to 250+ Marketing Automation systems, Ad Platforms, or to any of 3000+ apps listed on Zapier. Cognism Zapier workflows can be triggered with one of the following events:

a) when in Cognism web platform any new lead is added in campaign,

b) or when in a running (scheduled) campaign a lead replies to an email.

 

In both cases following person and company fields are offered to be actioned through the Zap (workflow):

  • First Name

  • Last Name

  • Company Name

  • Job Title

  • B2B email

  • B2B email Status

  • Mobile Phone

  • Direct Dial

  • Company Office Phone

  • Company HQ Phone

  • Country

  • Linkedin URL

  • Website

  • Cognism ID (ensures optimal match rate between different workflows)

  • obsolete: Direct Dial 1 (replaced with Mobile Phone field)

  • obsolete: Direct Dial 2 (replaced with Direct Dial field)

  • obsolete: Company phone number (replaced with Company Office Phone field)

Setting up the Zapier integration

Setting up the Zapier integration consists of the following steps:

  1. Enabling Zapier integration in Cognism web platform (Prospector)

  2. Creating Zap in Zapier

  3. (optional) Amending Zapier Integration settings (shortlisting leads to export, based on email quality) in Cognism web platform

  4. Choosing campaigns that should flow (sync) into Zapier

Enabling Zapier integration in Cognism web platform

  • To enable Zapier integration in Prospector, go to the 'Integrations' page under 'Settings': click 'Add' next to Zapier integration

  • You’ll be redirected to the Zapier’s Cognism app page: click 'Accept & Build a Zap'

 

Creating Zap

  • Once in Zapier, click 'Make a Zap' or 'Create Zap'

  • Name your Zap in the upper left corner.

  • Click the 'Cognism Prospector (3.0.0)' logo

o If ‘Cognism Prospector (3.0.0) is not available under ‘Your Apps’, type it in the ‘Search box’.

  • ‘Event Trigger’ field allows you to chose whether you want the sync to start when a new lead is added to a campaign or when a lead replies.

  • Next you need to ‘Choose Account’ from Prospector. You can click on ‘Connect a new account’ and you can enter your Cognism API key in the pop-up window (you'll find your API key in your Prospector account under Account Settings > API) and click 'Yes, Continue'.

  • Go back in Zapier click ‘Continue’

  • Now you can test your trigger.

  • You’ll see a test sample: Lead A which will be automatically populated.

  • Now this is when you’ll start building your desired connection by adding the Action. Search for the CRM, Marketing Automation, Ad Platform, Slack, Gmail or any other app you want to integrate with. [for the purpose of this guide we’ve selected free CRM – Insightly]

  • Optionally if you want to run any ETL transformations or additionally filter leads coming from Cognism, standard Zapier help functions (i.e. Filter by Zapier, Formatter by Zapier, Webhooks by Zapier) can be added as an additional step prior to end Action.

  • Choose the relevant ‘Action Event’. This can be Create Record for Insightly.

  • You will now need sign into your CRM account.

  • Enter your CRM API key in the pop-up window and then select 'Yes, continue'.

  • You’ll see that you’re successfully signed into your CRM and you can select ‘Continue’

  • Now you’ll be able to set up a “Template”: the data fields supported by the CRM are displayed here and you just need to select the relevant ones to be mapped.

  • Once satisfied with your mappings you can click ‘Continue’ and then Sent test lead to your CRM by selecting ‘Test & Review’ or ‘Test & Continue’

  • You’ll receive a validation success message and you can check your CRM if the test lead has been successfully synced.

 

  • If you want to make modifications you can go back, edit the fields and retest. Once you are satisfied with the test and the settings you can select ‘Turn on Zap’.

Amending Zapier Integration settings

Once your Zap has been activated, back in Prospector “Integrations” page, next to Zapier you’ll see that the “New Lead” method has been added. You also have from there the functionality to remove it.

 

You’ll also see a Cog symbol next to your Zapier integration. If you wish to filter already on a Cognism platform what leads, based on their email quality, should trigger Zapier integration, click on the Cog button, and you’ll be able to set the email quality you want to sync via Zapier.

Choosing campaigns that should flow (sync) into Zapier

  • Now the integration set-up is done. Whether it’s a new campaign created or you are adding leads to a campaign that has already been created you have to first toggle on the ‘Synchronize with Zapier’ option from within the campaign’s Settings tab:

  • Keep in mind that the campaign needs to be created first, ‘Synchronize with Zappier’ needs to be toggled on, and when you push leads to that campaign they will be synchronised with your CRM.

  • NOTE that the feature doesn’t work in retrograde flow so only new lead added will be synced
